Position: Provost’s Office Manger
Duties:
-Manage and maintain the Provost’s calendar of University and public events.
-Accept, screen and route telephone calls concerning activities and operations of the Provost’s office and direct inquiries as appropriate.
-Monitor, screen, respond to, and distribute incoming correspondence, including walk-in and email communications.
-Perform a wide variety of administrative tasks, including managing deadline-oriented communications, data entry and the drafting and editing of correspondence, reports, and other materials.
-Arrange and confirm travel accommodations, submit travel requests, prepare travel vouchers and reimbursements.
-Oversee preparation for meetings, including scheduling, documentation preparation, agenda publishing, documenting meeting minutes and arranging refreshments.
-Liaise with internal and external stakeholders at all levels.
-May assist in planning university and departmental special events including commencement ceremonies.
-Provide service excellence through courteous, informed, accessible, and professional engagement.
-Coordinate with school dean office managers and department heads reporting to the provost, to develop progress reports.
-Prepare presentations and different types of reports requested from the provost with guidance of the provost.
-Works closely with Academic and Student Affairs Fiscal Managers.
-Prepares purchase requisitions when necessary.
Job Specifications:
Education: B.Sc. or MBA of relevant background
Experience:
-10+ years of experience in office administration.
-Experience with international travel arrangements and logistics management is a strong plus.
Skills:
-Administrative experience in higher education is a plus.
-Ability to show a record of successfully working on multiple tasks within in a quick-paced work environment.
-Adaptability to Change – able to be flexible and supportive, able to assimilate change positively and proactively in rapid growth environment.
-Able to effectively communicate in a professional, diplomatic, empathetic, and tactful manner using preferred method and level as applicable to the job.
-Can make well-reasoned, sensible, and timely decisions based on careful, objective review and informed analysis of available information, considerations, and other factors.
-Demonstrate integrity, professionalism, civility, and a high degree of ethics in all job-related actions.
-Ability to organize, coordinate, manage, prioritize, and perform multiple tasks simultaneously to swiftly assess a situation, determine a logical course of action, and apply the appropriate response.
-Able to plan, schedule, and organize tasks related to the job to achieve goals within or ahead of established time frames.
-Proficient level of knowledge of Microsoft Office and/or relevant position software programs.
